This Privacy Statement outlines how SoulEase Therapy and its practitioners collect, store, and protect your personal information, and how that information is used in relation to your sessions.
What Data We Collect And Why
Name and Age – Basic information to help us get to know you and identify your client file.
Address, email address, phone number – Used to contact you regarding session information or updates. We will generally use the method you first contacted us on; however, if we cannot reach you, we may use an alternative contact method.
Next of kin/medical professional’s details – Only used if we believe you may be at risk of harm. We will always inform you if contact with your next of kin or medical professional becomes necessary.
Session notes – Brief notes are kept following each session for professional record-keeping. These are securely stored and used solely to support the continuity and quality of your care.
How We Store The Data

Client notes are stored as hard copies in a locked filing cabinet.

After your sessions conclude, relevant data (using initials only) may be transferred to a password-protected computer.

Your phone number may be saved in a business mobile phone under your first name and initial for communication purposes.

Only SoulEase Therapy practitioners have access to your records.
When and Why Data May Be Shared
Your information is treated as strictly confidential. It will never be sold, shared, or used for any unethical purpose.
We may be required to share information only under the following circumstances:

If subpoenaed by a court of law.

If you disclose information that suggests you, or someone else, is at risk of harm.

If we discuss your case during professional supervision, in this instance, only your first name or initials are used to maintain anonymity.

How Long We Keep Your Data
SoulEase Therapy retains your session records for the time required by our insurer — currently 7 years from your last session date.
After this period, all paper records will be securely shredded, and any electronic information will be permanently deleted.
